This policy explains which personal data we process when you visit this website, submit a form or book an appointment, and which rights you have. We do not sell data, build profiles or make automated individual decisions.

Visiting the website (hosting)

The website is served by Microsoft Azure Static Web Apps, operated by Microsoft Ireland Operations Ltd., One Microsoft Place, Dublin 18, Ireland. The application is deployed in the Azure region West Europe (Netherlands); static content is delivered through Microsoft's global network.

When you open a page, Microsoft technically processes connection data: IP address, date and time, requested address, transferred volume, browser and operating system. The purpose is delivering the page, keeping the service stable and defending against attacks. We do not evaluate these logs ourselves.

  • Legal basis: Art. 6(1)(f) GDPR (legitimate interest in a secure, stable operation).
  • Retention: Microsoft keeps connection logs briefly for operational and security purposes and deletes them afterwards.
  • Processing agreement: contract with Microsoft under Art. 28 GDPR; transfers to the USA are covered by Microsoft's certification under the EU-US Data Privacy Framework and by standard contractual clauses.

Demo request and contact forms

When you submit a form on this website we process what you enter: name, work email address, company, role, message and the page the request came from. The entries are delivered through an interface of our website as an email to office@sysparency.com and entered into our CRM system so that we can handle the request and the conversation that follows.

For delivering this email we use the sending service Resend (Resend, Inc., San Francisco, USA) as a processor. Please do not submit source code or confidential documents through the forms; we agree a secured channel with you for that.

  • Legal basis: Art. 6(1)(b) GDPR (steps prior to entering into a contract at your request) and Art. 6(1)(f) GDPR (answering business enquiries).
  • Retention: until the request is settled; statutory retention duties remain unaffected.
  • Transfer to the USA (Resend): based on the European Commission's standard contractual clauses (Art. 46(2)(c) GDPR).

Abuse protection: Cloudflare Turnstile

Our forms are protected by Cloudflare Turnstile, a service of Cloudflare, Inc., 101 Townsend St, San Francisco, USA. Turnstile checks whether a request comes from a person without asking you to solve puzzles. IP address, browser characteristics and interaction data are transmitted to Cloudflare for this; Turnstile may set a technically necessary cookie. The result is verified on our server when the form is submitted.

  • Legal basis: Art. 6(1)(f) GDPR (protection against spam and automated abuse); the storage is technically required within the meaning of § 165(3) of the Austrian Telecommunications Act 2021.
  • Transfer to the USA: Cloudflare is certified under the EU-US Data Privacy Framework.

Appointment booking: Calendly

On the page "Book a demo" we embed the scheduler Calendly (Calendly LLC, 115 E Main St, Ste A1B, Buford, GA 30518, USA). The scheduler loads only after you choose "Accept all" in the cookie banner or load it explicitly through the button. From then on Calendly sets cookies and processes IP address, device data and what you enter when booking: name, email address, chosen time and optional notes.

Inside the embedded window Calendly loads services of its own, among them Google Analytics, Google reCAPTCHA and Stripe; Calendly is responsible for those. The booking is entered into our calendar (Microsoft 365) so that we can attend the appointment.

  • Legal basis: your consent under Art. 6(1)(a) GDPR and § 165(3) of the Austrian Telecommunications Act 2021 for loading the service; Art. 6(1)(b) GDPR for holding the appointment.
  • Withdrawal: at any time through "Cookie settings" in the footer of the website, with effect for the future.
  • Transfer to the USA: Calendly relies on the European Commission's standard contractual clauses. Calendly's privacy policy: https://calendly.com/privacy

Audience measurement: Google Analytics 4

Only if you choose "Accept all" in the cookie banner do we load Google Analytics 4 by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google Analytics sets the cookies _ga and _ga_* (lifetime 2 years) and processes a pseudonymous identifier, pages viewed, events such as a click on "Book a demo", device and browser, and an approximate location derived from the truncated IP address. Google Analytics 4 does not store full IP addresses. We use the data to understand which content is read and to improve the website.

  • Legal basis: your consent under Art. 6(1)(a) GDPR and § 165(3) of the Austrian Telecommunications Act 2021.
  • Retention: event data in Google Analytics 14 months; cookies 2 years or until you delete them.
  • Withdrawal: at any time through "Cookie settings" in the footer. Google also offers a browser add-on: https://tools.google.com/dlpage/gaoptout
  • Transfer to the USA (Google LLC): Google is certified under the EU-US Data Privacy Framework; standard contractual clauses apply in addition. Google's privacy policy: https://policies.google.com/privacy

Local storage in your browser

We keep your choice from the cookie banner in your browser's local storage (entry "sys:consent") so the banner does not appear on every visit. This entry is technically necessary, contains no personal data and is not transmitted. After your consent a random test variant may also be stored (entries "exp:*") to show different versions of a page evenly. "Cookie settings" in the footer resets both entries.

Fonts and videos are served from our own server; no data is transmitted to third parties for them.

Email and phone

If you contact us by email or phone we process your contact details and the content of the enquiry in order to answer it. Our email and calendar services are operated by Microsoft (Microsoft 365) in data centres within the EU.

  • Legal basis: Art. 6(1)(b) GDPR (enquiries ahead of a contract) or Art. 6(1)(f) GDPR (other business correspondence).
  • Retention: until settled; correspondence relevant for tax purposes seven years under § 132 of the Austrian Federal Fiscal Code.

Recipients and processors

Within Sysparency GmbH only the people handling your request have access. External recipients are exclusively the service providers named in this policy, each under a contract pursuant to Art. 28 GDPR:

  • Microsoft: hosting of the website, email and calendar.
  • Resend: delivery of the form emails.
  • Cloudflare: protection of the forms against abuse.
  • Calendly: appointment booking, only after your consent.
  • Google: audience measurement, only after your consent.
  • Our CRM system for managing business contacts.

Transfers to third countries

Some of the providers named here are based in the USA or process data there. Transfers rely on an adequacy decision of the European Commission (EU-US Data Privacy Framework) for certified companies, or on the European Commission's standard contractual clauses under Art. 46(2)(c) GDPR. A copy of the respective safeguards is available on request.

Your rights

You have the right to access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). You may withdraw any consent at any time with effect for the future (Art. 7(3)). Write to office@sysparency.com for this.
